Rental Administrator

Gateway Truck & Refrigeration, a Carrier Refrigeration, Volvo, and Hino truck dealer with multiple locations in Illinois and Missouri, is in search of a Rental Administrator for our Collinsville, IL location. 

 Duties include:

• Marketing - gather prospect data via current competition accounts, industrial directories, D & B listing, Yellow Pages, existing parts and service customers, and any other qualified source, i.e. referrals.
• Maintain the "prospect system" for the purpose of storing/updating prospect data to include scheduled prospect follow-up.
• Participate in market and rate surveys to include collection of and qualification of this data.  Market surveys to include identifying "up-industries", competition information, market rental rates.
• Accurate completion of customer credit applications, rate sheets as per local policy, full service lease agreements, commercial rental agreements, lender documents as required, etc.
• Responsible for securing on a timely basis, plus ensuring the accuracy of all necessary insurance binders provided by customers.
• Communicate with and assist Leasing Manager with rental reservations/long term rental commitments sold, legalization of new and replaced equipment, in-service prep of new equipment, delivery of new and replaced equipment, substitution needs, service department needs pertaining to Full Service Lease/Commercial Rental customers, administrative needs - to include billing rates sold, customer information, etc.
• Maintain rapport with lease/rental customers by explaining any additional charges, maintenance issues, replacement vehicle, return of vehicle, providing contact telephone numbers, answering questions and concerns, and arrange towing if necessary.
• Responsible for ensuring the Rental Check-out/-in procedure is done on a consistent basis
• Maintain updated list of rental vehicle availability and readiness
• Maintain service records by recording problems.
• Prepare billing invoices for customers and assist in collection of receivable from customers.
• Update job knowledge by participating in educational opportunities, reading manufacturers' publications
• Provide excellent service to all customers
• Other reasonably related duties as assigned

Requirements:

• Graduation from a high school or GED equivalent; specialized training in mechanics, maintenance management, or a closely related field; any combination of education and experience.
• Ability to handle stress.  The Rental Administrator is a liaison for our business and, therefore, should be patient and calm to handle customer requests and/or complaints
• Excellent written and verbal communication skills and the ability to network with customers
• Ability to effectively manage time and complete all assigned tasks
• Computer Literate
• Ability to type 30 wpm or at a rate sufficient to perform duties of job
• Ability to establish and maintain working relationships with co-workers, supervisors, and customers
